Swim Meet 101
- Download the Swimtopia App for easy swimmer, volunteer, and meet management including notifications
- RSVP for each of your swimmer to attend the meets (responses due Monday by 9pm that Thursday's meet)
- Sign up for volunteer roles during Open Enrollment
Preparing for the meet:
What to bring
- Write your swimmer’s name on their back with Sharpie.
- Write their events on their arm or leg. You can find their events in Swimtopia or via the Athlete Check-in (see screenshot below) which is sent before each meet.
In this example, Crosby is swimming in Event #6, Heat 2, Lane 2. Events #16, Heat 1, Lane 2.
You would write their events in the format below...
- Print the Heat Sheet or access in Swimtopia App.
- Wear suit, bring cap, goggles, towels, water, snacks, dry clothes, sunscreen, hat, $ for concessions, small things to keep your child entertained
Check Swimtopia for your swimmer's events:
- Events will be published on Swimtopia by Thurs morning
- Max of 3 individual events + 2 relays per swimmer
During the meet:
When to arrive
- Setup is at 4:00, must arrive at 4:00 if you are volunteering for setup
- Swimmers arrive at 4:45 pm and check in at the playground.
- The deck opens for swimmers and spectators at 5pm.
- Warm-ups begin at 5:05pm.
Where to Check In
- Volunteer check-in is at 5pm at the window heading in to bathroom/vending machine area
- Natasha is the Volunteer Coordinator
Where to sit
- Parents may sit along the pool deck on the pavilion side
- Bring your own chairs
- Small coolers are allowed; no glass bottles or alcoholic beverages
Staging procedures
- 10&under swimmers are required to stay in the pavilion bull-pen area until all of their events are complete. Older swimmers are expected to stay in the pool area and get themselves to staging on time.
- No swimmers may be on the playground.
- Listen for the event for staging to be announced. Also displayed on a flip chart in the staging area.
- When their event is called for staging, make sure swimmer is capped and has goggles and send/escort them to the corner of the pavilion
Concessions
- Cash and credit card accepted
- This is a great way to get dinner for the family and support the team.
After the meet:
Cleanup
When your swimmer finishes their last event (or at the end of the session) gather your stuff and clean up your area. Please check to take everything that you brought and for trash.
Ribbons:
Ribbons will be available at Donuts and Ribbons on Friday morning. Here is how ribbons are awarded:
- Placement ribbons for finishing 1st - 6th in individual event.
- Placement ribbons for finishing 1st or 2nd in a relay.
- Participation ribbons for kids 10 and under with places not listed above where the swimmer did not DQ. Swimmer must legally complete the event (9/10s, 7/8s, 6U) to get a green participation ribbon.
- Rainbow ribbons where swimmer legally completes an individual event for the first time OR improves their previous personal best time.
If you feel like you are missing ribbons, check the results sheet and then ask Nancy.
